CSD Substitute Tech User Guide
Product: Substitute Email Login and Basic Classroom Tech Info
Audience: SPOCs, OM’s, Substitutes
Overview
This is a walkthrough for OM’s, Substitute’s, and SPOCs going over how to login to a Chromebook, use an OTP token for Duo (MFA), and the basics of Classroom Technology.
Tools/Equipment Needed
- Chromebook -issued by OM
- MFA/DUO OTP Hardware Token -for initial login- issued by OM
- HDMI Cable -to connect to the Projector- In the classroom
- Document Camera -possibly in the classroom- not all teachers use these
- Classroom Microphones
Sign in to Sub Account on Chromebook
Sign in as Sub Account
- Turn on the Chromebook.

Once it powers on you should see the login screen, see the image below. Enter email account information, school.sub.number (Ex: lincoln.sub.2).
Note: - @corvallis.k12.or.us is already filled out for you.
- If the account is already logged in from a previous day, please proceed to
“How to Clear an Old Sub Account” Section -
Next, a pop-up will appear for Duo. You’ll need to enter the FULL email address one more time and then click “Next”. (ex: [email protected])

Enter Password given by OM and then click “Log in”

Next you’ll enter a passcode issued from an OTP Token

Below is what an OTP Hardware Token looks like. Press the white button for a new passcode.

^These tokens generate NEW+RANDOM, ONE-TIME USE Passcodes when the button is clicked.
NOTE: The passcode shown above is NOT a passcode you can use. You need to get a code from a physical Token in your/OM’s possession.

Don’t have an OTP Token? The OM (not the substitute) can call the Help Desk at 541.757.3911 for a Bypass Code!
- Click “Other options” and Select “Bypass Code” and Enter the Code provided by the Help Desk/OM.
- You should now be logged into the Sub Account! Well done! Go forth and teach!
How to Clear an “Old” Sub Account

If the previous Sub didn’t log out from the day before, click the “^” symbol and then click “Remove account”, as shown below.
- Next re-enter the sub email address in the new page.
- Once you’ve entered the email address, you’ll see the image below. Click “forgot password”
- Next you’ll get a warning page. Please click “Proceed anyway”. Then follow the steps outlined above in the section “Sign in as Sub Account”.
Access Sub Materials shared by OM/Teacher
How to Access Substitute Email
All shared Documentation should be available via Email, including Drive Files. How do you find a Substitute Gmail account after logging into a Chromebook?
- If you open up a new tab in Chrome, by default in the top right corner you should see the Gmail button.

Click that and it will take you to your email inbox. Anything shared with the sub account should be accessible from there. (see image below)
How to Connect to the Projector
Connecting a Chromebook
- First step is to turn the projector on by pressing the Blue power button on the remote! They take a minute or two to warm/brighten up.

Chromebooks connect to Projectors via a physical HDMI cable going to the wall or projector.
- If your Chromebook doesn’t have an HDMI port. You should have been given a USB-C Dongle that will accept the cable. Plug that dongle into your Chromebook and the HDMI cable into the Dongle.

TIPS:
- If you don’t see your Chromebook screen on the projector, try pressing the “Source Search” button on the projector remote!
- Chromebooks will “Extend Screen” when connected to a Projector. If your computer isn’t showing up on the projector, try dragging the screen/window to the right and it will appear on the projector screen!

Connecting a Document Camera

There are two types of Document Cameras we use at CSD. Direct connection to Projectors and USB to a computer.
- If it looks like the Doc Cam image below, this typically is connected via HDMI cable directly to the projector.
- If it looks like the Doc Cam image below, this is a USB connection to the computer, not the HDMI cable to the wall. You’ll want to use the “Camera” App (or similar app) and then the computer would be connected to the Projector to show the Doc Cam image.
How to use Classroom Microphones
Lightspeed Microphone

We have two different types of classroom Microphones. They work the same but look slightly different. In both cases, just quickly press the power button (not hold!) and it should turn on. Tap it again and it will go into standby mode. The light on the top will turn blue when it’s on. If you press and hold, you’ll likely turn it off (just a quick tap is needed!)
