Bottom Line Up Front

  • Schools and Departments manage copier/printer service and supply needs.
  • Technology Services purchases copiers/printers and manages district service contracts.

Expectations

  • The district is under contract with CTX and must abide by the terms of the agreement.
  • When issues arise, the school or department staff will call the appropriate CTX phone number.
    • The service and supply phone number plus the device ID is on a sticker on the printer and copier (typically the front).
  • CTX sends highly trained professionals who have the proper equipment and training to complete the needed repairs and servicing, often on the same day or within 24 hours.
    • If CSD employees try to service a machine, the device warranty may be voided.
  • Although Technology Services staff help with devices, this does not include copiers and printers.

Ordering Supplies

All printers under contract have a sticker with a phone number, but staff can use this online order form as an alternative to calling. When using this form, you will still need to know the printer's Equipment/Device ID (found on the same sticker with the phone number).

Ordering Non-Standard Supplies

Although the order form only contains 3 options by default (seen below), it can be used to order other types of necessary consumables. 

When ording something outside of this list, like staple cartridge replacements, check one of the boxes and include details in the Additonal Requests section of the order. For example:

Recycling Supplies

While HP Toner boxes have a simple return method built into their packaging, recycling Xerox toner requires a few more steps (but is still very easy!)

Option 1: Use Your Own Box

Use any cardboard box from your workplace to ship used Xerox supplies, both the box and contents will be recycled!

Prepare your items for shipping:

  • The maximum box dimensions are 23" x 23" x 18".
  • The maximum weight is 25 lbs.
  • There is a minimum of 5 items for recycling per box.
  • Items should be sealed in a plastic bag (such as a trash bag) to contain toner dust when shipping.
  • Remove any prior shipping or address labels from the box.

Print a pre-paid return label by completing the shipping form on the Xerox website. 

Option 2: Order Eco Boxes

Xerox also provides free boxes that can be shipped to your address that already come with a pre-paid return label. Each Eco Box can hold 5-30 used items. Eco box orders can also be made on the Xerox website. 

Option 3: Surplus

The district's e-waste service provider can also accept spent toner cartridges and other printed consumables. However, there is a small charge for disposing of these items since they're not cost-recoverable. Combined with the large quantity of surplus from the district, this cost is often negligible.
